Cayuse SP will simplify the entire sponsored project
lifecycle management from proposal creation to award close-out
and will be the repository for institutional proposal and award
data. Members of the campus community will be able to monitor
their sponsored research proposal and award activity and, for
the first time, track the status from proposal submission to
award set-up in a single, on-line portal.
What this means for new proposal development and
Cayuse SP is designed to replace the Proposal Information
Form (PIF) as well as retire the EAR’s approval system. It will
provide an opportunity to electronically capture regulatory and
compliance data, and route proposals electronically for
internal approvals before submission to the sponsor.
One of the most important features of Cayuse SP is that it
provides a single point of entry for proposal data and any
documents that are required for internal review. It does not,
however, link directly to sponsor websites, nor does it change
the way that proposals are submitted, whether that is through
Cayuse 424, grants.gov, a sponsor website, e-mail, or
What this means for managing new awards
Research Administration and Finance is currently processing
all new awards through Cayuse SP. As a result, principal
investigators and department administrators will begin
receiving all award documents and communications by system
generated emails with links to access award information in the
Cayuse SP system. This process will eliminate notifications of
awards by email utilizing the Project Director Notification
Cayuse SP is designed to allow the electronic creation,
tracking, and management of proposals and awards along with
other aspects of research operations. Directed proposal
development, electronic approval systems, and easy access to
reporting foster research collaboration.

Cayuse SP Submission Timelines
The timeline bellow allows adequate time for proposal
development assistance and thorough review for content
readability, proposal completeness per RFP, budget, budget
justification, cost sharing approvals, and other critical
components of proposal development. The PIs will receive the
ultimate potential for a successful proposal.
Start a new proposal file in Cayuse SP as soon as
you begin writing a Proposal. Initiating the new
proposal file in Cayuse SP is the first indication RAF has that
you are preparing a proposal. That information is important for
planning and to balance workloads.
Awards are the records in SP that indicate that a proposal
has been successfully funded and track the distribution of the
funding to the Research Team. Awards are set up and managed by
Research Administration and Finance and accessible to the
Research Team and Administrators with award data access.
